Your main server is out of room and out of runway.

It runs a Windows Server version that is now past its support life, the box it lives on is at 97% capacity, and the file sync to OneDrive keeps fighting your team. None of that gets better by waiting.

Move the servers to our Tampa datacenter. Keep a small box in your office for drawings.

We call it Ascend hybrid. Your files, apps and logins run on hardware we own and maintain, with a live copy in Dallas. AutoCAD and SketchUp keep opening at full speed from a small server that stays in your office.

  • The meter runs on compute, storage and data leaving the cloud, and Microsoft adjusts Azure pricing periodically. The number moves month to month
  • The local CAD cache is still required, and every drawing it pulls down each day is billed as outbound data
  • Support and recovery run through Microsoft's queues, not ours
  • The most expensive path over five years

Our recommendation

Why Ascend hybrid is the one we would build.

A new server in the office fixes today. Ascend fixes today and stays fixed. Here is what that means in plain terms, and what the on-site number quietly leaves out.

One number you can plan around

A fixed monthly figure, held for the 36-month term. No $26,500 rebuild in year five (hardware, licenses and the migration labor all over again), no surprise repair when a drive fails on a Tuesday.

A datacenter, not a closet

Redundant power, generators, cooling and two internet carriers, plus a live copy of everything in Dallas. If the office loses power, your team keeps working from home.

Grows without a purchase order

More storage, another server, a new hire: it is a request, not a shopping trip. Capacity is added in the datacenter, usually the same week.

AI sits next to your files

The Copilot connector and, later, a private AI workspace run beside your data on hardware we already own. On-site, every AI step means buying more equipment first.

Stage: built in the datacenter, alongside today

The new environment stands up in Tampa while your current servers keep running.

  • Encrypted tunnel between your WatchGuard and the datacenter, tested end to end
  • Your existing Dell rebuilt as the local CAD cache and replication proven

Phase 03 · Week 5 · Friday evening to Sunday

Cutover: the weekend the house changes hands

Final sync, the switch, and a full test pass before Monday morning.

Can the construction managers get Claude under Copilot too?

Yes. Each added person is a Copilot license on your Microsoft bill and a few minutes in the admin center. Works on every path. AI Foundation is what makes it useful for project files.

Is Copilot safe with our proprietary designs and client details?

Yes. It runs inside your own Microsoft 365 tenant and your data is not used to train anyone's models. Consumer tools like free Gemini are different: fine for generic renderings, not for client specifics.

Why does the server matter for AI at all?

Copilot can only reason over what it can reach. Your drawings, specs and correspondence sit on a legacy server it can't see. A modern platform with a connector fixes that. Ascend adds room for a private AI workspace later.

Why do OneDrive and the server keep fighting each other?

GoodSync pushes 1.9 TB of server folders into OneDrive, and OneDrive was never built to carry that. Every path retires GoodSync. The file server becomes the one truth, with proper remote access instead of a sync copy.

Will AutoCAD and SketchUp get slow if the servers leave the office?

Not with the hybrid design. Drawings open from a local cache server in your office and replicate to the datacenter in the background. It's the reason we don't recommend a fully hosted setup for a design-build firm.

On the hosted paths the server is already reachable from anywhere over the VPN, at datacenter speed, so a remote employee works exactly like someone in the office. No second copy, no waiting for a sync.

What happens to Sage and QuickBooks?

They move to a dedicated application server on whichever path you choose, tested during the cutover weekend before anyone logs in Monday. Both vendors support all three designs.

Company laptops and personal phones: how do we protect our data on them?

Microsoft 365 Business Premium adds Intune, so company data on a personal phone can be locked down or wiped without touching personal photos, and laptops are encrypted and managed. The device rollout add-on handles it.

The impersonation waves are an email and identity problem, not a server one, and we're tightening the anti-spoof rules separately. Business Premium's Defender and the DLP baseline in AI Foundation add the next layer.

Today's real risk is AI making phishing more convincing, which the fundamentals stop. On quantum, Windows Server 2025 already ships the new post-quantum standards. Every path puts you on current, patched systems.

Add-ons on any path: AI Foundation ($3,500 one-time, $450 a month managed) and the device and identity rollout ($250 per device, about $3,000 for your 12). Microsoft 365 Business Premium, which we've discussed, is about $10 more per user per month than Standard and is billed through your existing licensing line.
